Job Responsibilities:
- Ensures that site files are organized, maintained, updated and contains required information on Construction Folder Required Documentation Checklist
- Monitor and occasionally assist with receipting for payment of invoices
- Assist with the circulation and approvals of capital budgets
- Monitor and update key construction schedules in Canadian Directory and PCA
- Set up new suppliers in accounts payable system and assist with training of new GC’s and suppliers
- Coordinate the creation of new locations in applicable databases
- Coordinates/Plans for various meetings
- Upload and maintain lease information in applicable databases
- Assist with the tendering process for new construction projects and verifying all necessary paperwork has been submitted by GC prior to construction ground break. As well, to manage and assist with GC PO creation, monthly draws, change orders and retainage release
Job Requirements:
- Well organized, with excellent multi-tasking and prioritizing skills with the ability to work on multiple projects at any given time, with tight deadlines – while still maintaining a high level of accuracy and attention to detail
- Strong knowledge of (or aptitude to learn) Oracle, including head office departments, regional offices and restaurants would be definite asset
- Outstanding written and verbal communication skills with the ability to read and understand legal documents
- Excellent computer skills using Microsoft Office products: Word, Excel and PowerPoint
- French language skills considered an asset
- Strong knowledge of Sharepoint, Teams, and other online collaboration tools.
- Proven project coordination skills and a Construction administration background would be an asset
- Numerical aptitude would be an asset
Qualification & Experience:
- Minimum 1-2 years of related work experience
- Experience working in a fast paced environment with the ability to adjust quickly to change
